Who is responsible

Data, purposes & legal bases

  • Enquiries and quotations: name, contact details, message, dates and preferences, to answer you and prepare a proposal. Legal basis: steps taken at your request before a contract, or legitimate interest in responding to a general enquiry.
  • Bookings and service delivery: participant details, level, practical requirements, emergency contact and booking history. Legal basis: performance of the contract. For a participant who is not the contracting customer, legitimate interest in organising and safely delivering the requested activity.
  • Invoices and payments: billing details, transaction references and payment status. Legal bases: performance of the contract and legal accounting obligations. Card details are handled by the payment provider used at checkout.
  • Website security and operation: IP address, technical logs, session and language information. Legal bases: legitimate interest in securing and operating the website, and delivery of the functions you request.
  • Optional audience measurement and marketing tracking: online identifiers, visits, referral source and interactions. Legal basis: your consent through the Consentement control.
  • Newsletters and promotional messages: contact details and subscription choices. Consent where required; you may unsubscribe through the message or contact us. A booking or cookie acceptance does not itself subscribe you to a newsletter.

Fields marked as required are needed to process the relevant request. Without essential booking or safety information, we may be unable to confirm a suitable service.

Safety information & children

Only disclose health information that is necessary to assess or organise safe participation, directly to the professional. If such information needs to be recorded, a specific explicit consent is sought unless another legal exception applies, such as protecting vital interests in an emergency. Ordinary booking consent alone is not consent to process health data.

Information about minors is provided through their parent or legal representative for the organisation and safety of the activity. Do not send medical records, identity documents or payment details through EKo.

Echo

EKo is an automated assistant powered by AI Engine and OpenAI. When you send a message, the message and the conversation context needed to respond are processed through the website and the AI provider. Use is optional; you can contact Alpine Vertigo directly instead.

The browser may retain the conversation locally to maintain continuity. You can clear the conversation using the assistant’s controls where available or delete this site’s browser storage. This does not necessarily erase a server-side record: contact us for an erasure request.

The assistant provides general information. It does not make binding booking, medical or mountain safety decisions. A professional confirms the arrangements personally. Processing is based on the legitimate interest in answering your enquiry, or precontractual steps when your request concerns a booking.

Who receives the information

Access is limited to the people and providers who need the information for their role: Alpine Vertigo, the professionals involved in your programme, booking and payment providers, technical providers, and legal or accounting advisers where necessary. Information may be supplied to rescue services or competent authorities when the circumstances or law require it. We do not sell your personal data.

  • WordPress.com / Automattic: website hosting, delivery, security, and WooCommerce functions; optional Jetpack statistics and Bilmur performance measurement after consent.
  • HubSpot: customer relationship tools and optional visitor tracking after consent.
  • Yoplanning: booking functions when you enter the associated reservation flow.
  • WooPayments / Stripe or PayPal: processing when the relevant payment method is offered and selected.
  • OpenAI through AI Engine: responding to messages submitted to EKo.
  • Trustindex and Google: public review information displayed on the site. The editorial review feed is retrieved by the server; optional embedded third-party components require consent.

External booking, payment and linked websites provide their own privacy notices for processing under their responsibility. Only the information needed for the particular service should be provided.

Processing outside the European Economic Area

Some providers operate internationally, including in the United States. A European service endpoint does not by itself mean that every processing operation remains in Europe.

Where data is transferred outside the European Economic Area, the applicable safeguards must cover that transfer: an adequacy decision where applicable, or the European Commission’s standard contractual clauses and any necessary supplementary measures. You can ask us which safeguard applies to a provider and how to obtain a copy.

How long information is kept

Retention depends on the purpose and the obligations attached to the document, rather than a single period for every record.

  • Enquiries without a booking: for the time needed to answer and follow up the request; prospecting information, where lawfully retained for that purpose, for no more than three years from the last contact initiated by you.
  • Booking records: throughout the service and then, where needed to establish or defend rights, for the applicable limitation period, generally five years. Specific mandatory retention rules may require longer.
  • Invoices and accounting evidence: ten years from the close of the relevant financial year.
  • Safety information: only while needed to organise and deliver the activity; any record necessary for a claim is retained separately for the applicable legal period.
  • Technical records and assistant exchanges: for the time necessary to respond, maintain continuity, secure the service or investigate an incident; local browser storage remains until it is cleared if the tool has no automatic expiry.
  • Cookie choices: 180 days. Other browser storage periods are set out in the Cookie Policy.

Where a dispute, legal obligation or authority request requires preservation, the relevant information may be retained for that purpose with access limited accordingly. Erasure requests are assessed against these obligations.

Your rights & how to use them

You may request access, correction, erasure or restriction of your data, and portability where applicable. You may object to processing based on legitimate interest and to direct marketing at any time. Where processing relies on consent, you may withdraw it without affecting the lawfulness of earlier processing.

Write to contact@alpinevertigo.com and describe your request. If there is a reasonable doubt about your identity, proportionate verification may be requested. A response is normally provided within one month; a permitted extension of up to two further months is explained within the first month.

You may complain to the CNIL, the French data protection authority, or another competent supervisory authority. Refusing optional cookies does not prevent you from making an enquiry. You can change browser tracking choices at any time through Consentement.

The date at the top identifies the current version; material new uses requiring consent are not authorised merely by publishing an updated notice.
